This project was ordered by one  of the largest translation and localization agen­cies in Europe with end-clients all over the world. Their projects al­ways require special attention be­cause of specific formats and sub­jects, mainly medical or technical, quick turnaround and immediate reaction to all their queries. On top of this, a high quality translation is expected, which is being ensured by several QA stages throughout each translation project.

Key challenges for this project and client are:

The project consisted of a 800 pages file converted from InDesign into .ttx format – 110 000 words InDesign translation and proofreading as well as post- DTP check into Es­tonian language within 20 days turna­round.

A workflow for this project included InDesign translation with the help of refer­ence material provided by the cli­ent, proofreading, simultaneous QA performed both by Tilti Systems and the client, immediate imple­mentation of necessary changes, timely partial deliveries and post-DTP check of the final product.

To complete this task, a team of translators and proofreaders was selected. Their qualification and experience in medical translations had to be proven by providing CVs and test translations. A project schedule was created and confirmed both by the translators and the client, which not only required intense communica­tion but also good planning skills and careful attention of the project manager.

Translators delivered the translat­ed files in batches which were first checked internally by Tilti Systems Quality Assurance department and then given to the external proof­readers. In the meanwhile, the cli­ent was performing their own QA on delivered batches, and our trans­lators had to simultaneously apply client’s suggested changes to their work. Thanks to our internal project workflow and dedicated work of our team and translators, we were able to meet the deadlines and high quality standards set by the client.

The project was ordered by a middlesize language service provid­er based in Italy and servicing pre­dominantly technical manufacturing and engineering companies. The end-client is an international manu­facturer and supplier of commercial trucks, parts and diesel engines. The production of the company is being used in more than 30 coun­tries all around the world.

The main challenges of their industry are related to the fact, that  for each truck, vehicle or engine in all the countries the company manufactures its production for, they must prepare technical docu­mentation in the local language (in our case: Italian > Czech, Italian > Polish).

Thus, for us, the main challenge for this client has always been the large amount of complicated techni­cal texts and short turnaround time. As such large translations can only be done by groups of several trans­lators, maintaining the consisten­cy of the translations is one of the greatest challenges.

Typical workflow for this project in­cluded translation with the help of a central server-based TM, proof­reading, final QA and delivery.

To achieve high turnaround, top quality and meet the deadline, we decided to involve 6 carefully se­lected translators for each language combination.

The terminology consistency was maintained by the usage of central server-based TM that enabled trans­lators to access the client’s TM on their server while they were trans­lating. All the translators were using the same version of SDL Trados to ensure that the TM will be updated correctly.

Translators delivered the translated files in batches which were then as­signed to the proofreaders. By or­ganizing a simultaneous workflow of translation, proofreading, and fi­nal QA we were able to meet the deadlines set by the client. With the help of the server-based TM the cli­ent was sure that the preferred ter­minology was used throughout the documentation and it remained con­sistent. Efficient and careful project management ensured that the cli­ent received the files back in exactly same format and folder structure as originally.
